Effective date: September 4, 2026, Schaumburg Amateur Radio Club, Inc. (“SARC,” “the Club,” “we,” “us,” or “our”) operates the website n9rjv.org and related club communications. This Privacy Policy explains what information we collect, how we use it, and the choices you have.SARC is an Illinois amateur radio club and ARRL-affiliated 501(c)(3) organization. We exist to promote amateur radio, education, public service, emergency communications, and fellowship. We do not sell personal information.This policy is written for club use. This policy applies to:

  • Visitors to https://www.n9rjv.org
  • People who submit membership or contact information
  • Members who use the club roster or receive club email
  • People who register for license classes, VE testing, events, nets, or public-service activities
  • People who pay dues or donate by check or Zelle

It does not control third-party sites we link to (ARRL, FCC, Zelle, Zoom, Facebook, EchoLink, Allstar, Wires-X, library event pages, maps, and similar services). Those services have their own policies.2. Information we collectInformation you give usDepending on how you interact with the Club, we may collect:

  • Name
  • Amateur radio call sign
  • Email address
  • Mailing address
  • Phone number
  • Membership type and dues amount (standard or reduced)
  • Eligibility notes for reduced dues (full-time student, active-duty military, or age 65+)
  • Optional roster information, such as a short bio
  • Class, test, event, or public-service registration details
  • Messages you send us by form, email, mail, or radio-related club channels
  • Photos or video taken at Club meetings and events, if you appear in them

The online membership form currently asks for name, call sign, email address, and dues selection. After payment, members may add address, phone number, and a short bio to the club roster. Roster details can optionally be made searchable by other members.Payment informationWe accept:

We do not collect full bank-account or card numbers on our website. Zelle payments are processed by your bank or credit union and Early Warning Services, LLC (Zelle). Those companies receive the payment data needed to complete the transfer. Your bank statement may show a name similar to “Schaumburg Amateur Radio Club Inc.”Information collected automaticallyWhen you visit n9rjv.org, our hosting environment and website software (the site uses WordPress) may automatically collect:

  • Operate the members-only roster so members can contact one another
  • Announce meetings, nets, classes, Field Day, public-service events, and Club news
  • Publish the Club newsletter, Radio Hill Gazette, and website updates
  • Organize license classes, VE testing, construction projects, fox hunts, and other activities
  • Coordinate public service and emergency-communications support
  • Maintain repeater, net, and Club operations
  • Respond to questions
  • Improve the website and Club administration
  • Protect the Club, members, and the public against fraud, abuse, or security incidents
  • Comply with law, IRS nonprofit record keeping, and banking requirements

We do not use Club contact lists for commercial advertising, and we do not sell member or visitor data.4. Club roster and member communicationsAfter we receive dues, we may send login information for the Club roster. On the roster you may add extra contact details. You choose whether those extra details are searchable by other members.Roster information is intended for Club purposes only, such as:

  • Reaching a committee chair
  • Coordinating nets, events, and public service
  • Mentoring new operators
  • Club administration

Members must not scrape, publish, sell, or use roster data for unrelated commercial or political purposes.5. When we share informationWe may share information with:

  • Club officers, committee chairs, and volunteers who need it to do Club work
  • Other members, but only to the extent you make roster information visible
  • Payment processors and banks (Zelle and the institutions that handle checks)
  • Website hosting, email, and security providers
  • Zoom or similar platforms if you join a remote meeting
  • Event venues and partners when needed to run a class, test session, or public-service event
  • ARRL or similar organizations when reasonably needed for Club affiliation or activity reporting
  • Professional advisors (accountant, insurer, attorney)
  • Authorities if required by law, court order, or to protect safety

We do not sell personal information and do not share it for cross-context behavioral advertising.Amateur radio is a public communications service. Call signs, on-air activity, repeater use, contest logs, and similar operating information may be visible to other operators or appear in public amateur-radio systems. That on-air activity is separate from this website policy.6. Cookies, embedded content, and third-party servicesOur site may include links or embeds such as maps, PDFs, videos, social-media posts, or event calendars. Those third parties may collect information according to their own policies.Services the Club commonly uses or links to include:

  • Zelle / member banks for dues
  • Zoom for some meetings
  • Facebook for Club publicity
  • EchoLink, Allstar, and Yaesu Wires-X for repeater connectivity
  • ARRL and FCC resources
  • Occasional partner registration pages (for example, a public library class listing)

You can control cookies through your browser. Blocking some cookies may affect parts of the site, including any members-only login.7. Photos, newsletters, and publicityClub meetings, Field Day, public-service events, and similar activities are community events. We may take photos or video and use them on n9rjv.org, in the Radio Hill Gazette, in Club presentations, or on Club social media.If you do not want your image used, tell an officer or the event organizer at the time, or email us using the contact information below. We will make a reasonable effort to honor the request for future use. We may not be able to remove an image that has already been printed or widely shared.
8. How long we keep informationWe keep information only as long as needed for Club operations and legal obligations. Typical examples:

  • Membership and dues records: while you are a member and for a reasonable period afterward for nonprofit accounting and tax records
  • Event or class registrations: for the event and a short follow-up period
  • Website logs: for a limited time unless needed for security
  • Emails and volunteer records: as long as useful for Club history or administration

When information is no longer needed, we delete or de-identify it when practical.9. SecurityWe use reasonable administrative and technical measures to protect personal information. No website, email system, or volunteer-run club roster is perfectly secure. Please use a unique password for any Club login and do not send sensitive financial data by unencrypted email.10. ChildrenSARC welcomes families and young people interested in amateur radio. The website is not directed at children under 13, and we do not knowingly collect personal information online from children under 13 without a parent or guardian. License classes, testing, and youth activities may involve a parent or guardian’s contact information. If you believe we have collected information from a child under 13 without appropriate consent, contact us and we will delete it.
11. Your choicesYou may:

  • Visit the website without creating a membership
  • Attend monthly meetings as a guest without joining
  • Choose not to add optional roster details
  • Ask us to update your name, call sign, email, address, or phone number
  • Ask us to limit how your roster information is shared with other members
  • Unsubscribe from routine Club email where that option exists, except notices we must send for membership, safety, or legal reasons
  • Request that we delete information we are not required to keep

To make a request, use the contact information below and include your name and call sign if you have one.Illinois residents may also have rights under the Illinois Personal Information Protection Act if certain sensitive data is involved in a security breach. We will provide any notice required by law.
12. Do Not Track and global privacy controlsThe website may not respond to every browser “Do Not Track” signal. If we deploy a tool that honors Global Privacy Control or similar signals, we will treat that signal as a request not to sell or share personal information. We do not sell personal information.13. International visitorsThe Club is based in Illinois, United States. If you visit the site from another country, your information will be processed in the United States, where privacy laws may differ from those in your country.14.
